We had prepared for another contentoriented and knowledge-sharing Operations Summit at Bangkok but the Coronavirus breakout impacted travel. As the safety & security of all IELA family members is our top priority, your Board decided to postpone the event. We are now hoping to co-locate Operations Summit and IELA Connect in the later part of this year.

As the Coronavirus impacts the global event industry as a whole, IELA has been at the forefront in providing support to all stakeholders by creating an environment of solidarity and joint action. From a logistics point of view, the entire IELA network has been supporting and working closely with organisers to manage challenges and minimise the impact.

Now following the cancellation of the Bangkok meeting, your Board has held multiple conference call meetings to discuss & action all work in progress including the revised IELA Articles & By-Laws which will be presented to you during General Assembly at Cape Town for approval.

The planning and execution of the IELA Congress & Partnering Event at Cape Town is in full swing. Elizabeth and her team are fully supported by our South African hosts and are working hard to make IELA’s 35th Congress a memorable one. The programme format as well as social events are being organised to provide you with a unique experience.

In this edition you will find a Dossier with messages from IELA Founders and their wives on how IELA was conceived and the position of pride it has achieved. A nostalgic journey now documented as history.

It is my great honour to lead IELA in it’s 35th Anniversary celebrations. For this profound honour, my personal payback will be to carry out a 1750 kms (50 kms for each of IELA’s 35 years) solo cycling trip in September from Leh (north India Himalayas) to Delhi, crossing 5 mountain passes, 4 of which will be +16.500 ft, to be completed in 13 days. This will be a small expression of my personal gratitude to IELA Founders.

We all owe it to IELA Founders to now take the association to an even higher level of excellence and global recognition.

You will also observe a new initiative, “Beyond Logistics” which is an editorial section sharing knowledge with event industry stakeholders on a variety of important topics. The first edition focuses on the complexity of planning, organising and carrying out exhibition logistics. The reasons are given as to why it is important to find the correct supplier and partner. I thank all the contributors.

And finally, you have all received a call from the IELA Committee seeking nominations for election to the IELA Board at Cape Town. I urge volunteers to come forward to take on leadership roles in IELA. I am an example of how IELA provides opportunities to allhaving become a member in 2009, getting elected to the Board in 2011 and then as Chairman in 2018, all in just 9 years. IELA needs all its silent talent to step forward and volunteer.

MNSTARS ALIGN IN LAS VEGAS AND AIRWAYS FREIGHT CELEBRATES 40 YEARS IN THE BUSINESS

Airways Freight Corporation is proud to be the official, carrier, forwarder and broker for two reputable trade shows in North America. The exhibition stars align over Las Vegas in 2020 and the rare case every twelve years of having both events in the same year becomes reality.

Taking place every three years, the largest Construction Industry show in North America ConExpo-Con/Agg opens its doors this year from March 10th - 14th (2800 exhibitors & 2.5 million square feet of space). MINExpo, the

largest Mining Industry show in the World every four years, will be from September 28th - 30th (1950 exhibitors & 800.000 square feet of space).

To top it all and in recognition of the longstanding experience of the company, Dale Caudle, Chairman at Airways Freight Corporation added “How fitting that we have the privilege to work these significant events in the same year that we are celebrating the 40th Anniversary of our company”. t

TAKING ON THE ROLE AS OFFICIAL FORWARDER FOR THE CIMT SHOW

China International Exhibition Transportation Co. Ltd. (CIETC) was the official forwarder of one of the world’s top four major international machine tool exhibitions, namely the 16th China International Machine Tool Show (CIMT) held in Beijing from April 15th - 20th 2019.

More than 1,700 manufacturers from 28 countries and regions participated. CIETC provided transportation, storage, move-in

and-out, and in-place transportation and construction work for more than 40,000 cubic metres of domestic exhibits. They ensured that exhibits were assembled in an orderly manner and coordinated with China Customs, playing a major role in how to efficiently and quickly complete the international cargo clearance process with customs and in identifying improvements on timeliness with customs declarations after Customs and Quarantine inspection. t

CHARLES KENDALL NOMINATED LOGISTICS PROVIDER FOR GLAMOUR BEAUTY FESTIVAL

Charles Kendall Event Logistics are pleased to be nominated for the third consecutive year as the logistics provider for the Glamour Beauty Festival which takes place in March at the Business Design Centre, London.

This three day event showcases some of the biggest names in the cosmetics and beauty industry. Charles Kendall also provides the onsite stock management service for all exhibitors.

Charles Kendall is similarly very proud to have won both the “Logistics Business of the Year” Award at the West London Business Awards, as well as “Organisation of the Year” at the Global Freight Awards. Both their solid commitment in specialist industries and the fact that they have wonderful colleagues have gained them considerable recognition in this competitive field. t

VIVA THE THAI PAVILION

Elite Transportation Services Ltd. organised the smooth delivery of food samples for 140 exhibitors from Thailand to SIAL Paris, one of the world’s largest food exhibitions. Over the past 10 years, Elite has been appointed by Thailand’s Department of International Trade Promotion to consolidate and ship exhibits under the Thai flag “Thai Pavilion” to the show: a great variety of rice, spices & herbs, meat & seafood, tropical fruits & drinks.

Elite worked closely with their French IELA

partner Group ESI. Due to the extraordinary teamwork, all 140 booths were delivered on time and customers were more than happy.

Elite learns from experience and works to proactively assist food product exhibitors in reviewing their documents and authentication of food safety certification. Elite also draws up a shipping schedule to cater even for the worst case scenario.

We hope to repeat the project with E.S.I for SIAL 2020. t

OVERCOMING CHALLENGES AT PROPAK

IAL NIGERIA LIMITED was appointed the official logistics company for The PROPAK WEST AFRICA 2019. This is the largest West African packaging, processing, printing and plastics exhibition with over 500 exhibitors and 200,000 visitors.

IAL NIGERIA provided seamless services in terms of freight clearance, booth delivery and on-site support for the show. Often with short notice, tight shipping deadlines and late freight arrivals, one Portuguese exhibitor with

enormous machines presented a challenge but IAL NIGERIA successfully cleared shipment customs and concluded delivery within 3 days of arrival at the Lagos sea port. The unrelenting efforts of the exhibitions team made it possible.

IAL NIGERIA LIMITED remains the sole official logistics company for this show and looks forward to the return show Propak West Africa 2020 taking place from September 15th - 17th 2020 in Lagos, Nigeria. t

MTS OFFICIAL FORWARDER AND ON-SITE AGENT FOR DEFEA 2020

MTS ExpoLogistics Ltd has been appointed by the organisers as the exclusive official forwarder and on-site agent undertaking all movements and customs formalities for all exhibits and for security and liability reasons has the exclusive right to transport exhibits and stand building material from the exhibition centre entrance to the stands and vice-versa. Also under their charge is the storage of all empties, packing materials and their return following the closure of DEFEA 2020 International Defence Exhibition that

will be held at the Metropolitan Expo Centre June 22nd - 24th, 2020 in Athens, Greece.

As the largest construction equipment exhibition in South Asia, EXCON took place for the 10th edition from December 10 th14 th 2019 in the Bangalore International Exhibition Centre (BIEC). Schenker India Pvt. Ltd. were proud to be selected as one of the official freight forwarders and be associated with this highly-esteemed event. This is an UFI approved event and it is a very international occasion: over 1.500 exhibiting companies are present, including 350 from

Trans-Link Exhibition Services Co. , Ltd. was appointed as one of the official freight forwarders to handle the majority of shipments from Taiwan to Hannover Germany for EMO2019

TWI CANADA APPOINTMENTS IN BOTH HEALTHY LIVING AND HUMANITARIAN SECTORS

For the the 4 th consecutive year, TWI Group Inc. Canada will act as the official transportation and customs broker for the two Canadian Health Food Association (CHFA) shows which will take place from Feb. 22nd - 23rd 2020 in Vancouver & from September 12th - 13th 2020 in Toronto, Vancouver.

DARWISH LOGISTICS SHIPPED ARTIFACTS TO OMAN MUSEUM

Darwish Logistics was appointed by the General Directorate of Antiquities and Museums in Damascus to handle and ship a 12 box shipment of artifact pieces to the National Museum of the Sultanate of Oman

The shipment was a truly Syrian national treasure, thousands of years old, with statues, sculptures and engravings of idols and kings from different empires and civilisations (Sumerians, Assyrians, Babylonians, Romans and Arabs).

The National Museum of the Sultanate of Oman requested the restoration, preservation and display of the treasures in the Omani National Museum for a certain period of time in agreement with the Syrian museum, before returning it to Syria where it belongs.

Darwish Logistics is very grateful to all government agencies involved for facilitating procedures during the whole process to complete the task between Syria, UAE and Oman. t

TIMAR HANDLED MOROCCAN DELIGHTS FOR THE GREEN WEEK IN BERLIN

IELA Member Timar S.A. had the challenging assignment of being responsible for the freight forwarding and handling of the national Moroccan pavilion at the 85th edition of the International Green Week which took place from January 17 th - 26th 2020 in Berlin.

The event welcomed over 400,000 visitors who discovered products and goods from over 70 countries and 1800 exhibitors. Renewable resources, organic agriculture, gardening and

the future of rural development continued to be of utmost importance.

On the Moroccan pavilion of over 623sqm, approximately 5t of airfreight took off from Casablanca for Berlin. Representing their country at the show, 20 cooperatives presented their local products such as couscous, argan oil, olive oil, dates, saffron, prickly pear oil, aromatic herbs and spices, fresh fruits (clementines, tomatoes), red fruits (blueberries and raspberries). t

WAIVER LOGISTICS - PERU OFFICIAL CUSTOMS AGENT LIMA 2019

WAIVER LOGISTICS PERU S.A.C. was appointed by the Games Local Organising Committee as the sole Official Customs Agent for the XVIII Pan American and Parapan American Games Lima 2019

The Games were held from July 26th until September 1st, 2019 in Lima, Peru. Almost 9.000 athletes from 41 countries took part in 790 events in 39 sports which qualified also for the next Summer Olympic and Paralympic Games 2020.

WAIVER created a skilled, multilingual Team to cater to different clients including the Local Organising Committee, National Olympic Committees & Broadcasters. Services were offered such as Customs Clearance, international transportation, warehousing and door-to-door deliveries.

The event was supported by Peruvian official institutions and ministries to create a necessary framework for the circulation of restricted cargo including medical, food, sports ammunition and entry of live animals (horses). t

CLAMAGERAN TURNS 50 AND IT’S JUST THE START!

Way back in 1970, Philippe Clamageran founded Clamageran Expositions, having realised that there was a necessity to create a division dedicated exclusively to the exhibition logistics industry in Paris and throughout France.

Today, 50 years later, Clamageran Expositions is one of the leading exhibition logistics companies in France. Following in the footsteps of its founder, in 2018 ownership was transferred to 3 associate Directors: Lucien

Lawson, Dominique Filiberti and Ahmed Mahe who continue to strengthen the excellent Clamageran reputation.

Clamageran would like to thank their customers, partners and colleagues for the loyalty they have shown them over the years. Of course, a special thanks goes to their employees without whom their success would not be possible. t

OTIM TRANSFERS TO THE NEXT GENERATION

Having been head of OTIM’s Exhibition Department for over 30 years, Giampiero Beltrami had the pleasure in informing the industry that, in accordance with the BOM, he had decided to step down from “Commercial and Operations” and hand over the responsibility to Mrs Chiara Rossolimo Bergamini

Giampiero commented this change by saying ”I decided that this is the time to let the Youngers play and choose the Music!”

With over 40 years in total of valuable industry experience, Giampiero will remain on the OTIM BOM acting as an Advisor & Consultant. t

is the 35th year working together to raise the standard of performance of the exhibition logistics industry.

When you reach a certain point in an organisation’s development, it makes sense to pause and look back at how it all started at IELA and the dreams of founding members.

Today, IELA counts 173 members and 31 affiliates in 56 countries and it’s time to travel back to our roots, to reminisce with the “seven pillars” who had a dream.

This fantastic association wouldn’t have been possible if it was not for the founding members dedication and love for exhibition logistics!

We are happy to share with you some memories from Cindy Barry, Hans R. Brauchli, Dieter Fräulin, Jean-Paul Moser, Philip Powell, and Waltraud Rauch.

We also had the pleasure of exchanging a few words with both Ruth Meister, the first IELA Secretary, and Jim Kelty, the IELA Member who participated at the very first IELA Congress and almost all that followed.

But Christoph Rauch, son of IELA founder Klaus Rauch and IELA Board member since 2007, is in a much better position to make the introductions.

IELA - A success story already reaching over 35 years

ago, Michail Gorbatschow became General Secretary of the CPSU. He went on to help pave the way for German reunification and the fall of the Berlin Wall a milestone in history.

35 years ago, the Live Aid concerts were held in London and Philadelphia to help the needy and starving people in Africa. Today, this is still more relevant than ever.

And 35 years ago, a group of logistics pioneers decided to create an association, which to this day is still unique in its sector – IELA!

Personally, I would like to share with you my first IELA experience which happened during the 5th General Assembly, which took place in Munich in 1990. My parents prepared some personal welcome gifts at home for all the delegates and I helped them to arrange them all, including the packing, the labelling and the delivery to the hotel my exhibition logistics career obviously started back then. I was a 12-year-old boy and found it more than exciting to welcome people from all over the world to my hometown. I also received a token of appreciation from IELA’s Honorary Lifetime President Mr. Hans Brauchli – thrilling!

Over the following years, my attention for IELA was drawn more towards the dates of the General Assembly. Because during this time – with Mum and Dad travelling – my brother and I had the house to ourselves – party time!

Enough of me, this is about IELA and it is a golden opportunity and a very special occasion to think about, remember and listen to the founding fathers of IELA and let them tell how they experienced the beginning and the development of IELA. Without them, this fantastic association wouldn’t have been possible.

During the late seventies, I discovered that we could become a site agent at the Palexpo Geneva site. Steve Barry of Three Way (later TWI) was looking for a local partner to handle the Telecom shows and that was the beginning of our relationship!

The international moving industry, in which I was active until then, was represented by associations which promoted its members in a worldwide network of top class companies. The idea was born to create an association for the international exhibition industry.

Between 1979 and 1983, various informal meetings took place mainly between Steve Barry, who liked the idea, and myself to develop a concept for a meeting and exchange platform for companies active in the international Exhibition Transport and Service Industry. On June 12th 1984, a special meeting took place to decide on the name of this association: it was confirmed as “IELA International Exhibition Logistics Associates”.

When thinking back to the origins of IELA, I always have a special thought for the 3 founding members who have left us already - Steve Barry, Ernie Droessaert and Klaus Rauch. I remember how honoured I felt to be able to join them and make IELA what it is today. We shared a lot of memorable moments together over the years. One thing I will never forget is meeting regularly in Paris and Ernie introduced us to the best restaurants in town!

First of all I would like to pay a great homage to the late Stephen J. Barry who is really the IELA’s father and founder. He is the one who had the genius idea to bring together people the exhibitions business worldwide in order to strengthen relations, quality and performance.

In the beginning of the eighties he started the first discussions, mainly with Hans, Klaus, Phil and Ernie, to work out the rules and regulations as quite a lot of other points.

The first preliminary meeting held in Geneva in the presence of the seven members (the five already above mentioned plus Dieter and myself).

My great friend Klaus Rauch pitched it to me. It was a clear no-brainer. with only land line telephone as an immediate communication tool, it was an easy way to engage with specialists from the industry.

My first meeting to think about founding IELA was with Steve Barry of TWI. Steve’s idea was to bring the very different services and costs in exhibition forwarding to a level with which we could work on a worldwide basis. I agreed with his idea from the very first sentence. A short time later we had the first meeting in Geneva with the founding companies and not long after, the founding congress in Montreux took place.

After lively discussions on several points such as rules, regulations, targets, name, etc., we agreed to meet together again on March 6th 1985 in Geneva and so IELA was born. For all of us it was an emotional day and we felt that we were at the beginning of a great deal. Today’s result certainly exceeded our greatest dreams.

A small anecdote: for the dinner following the constituent assembly, I was in charge to order the wine. By chance my choice suited all the participants and therefore I was appointed by Ernie Droessart as IELA WINE WAITER for life.

the association was founded, we had functions. Ruth likes to remember the first time she sat there writing the minutes. She had never done this before but she jumped into the job.

One year, the total number of members had passed to 20 and we were all thrilled to be meeting market leaders under the same roof working in the same industry worldwide.

Today I still receive the IELA Report magazine and I really appreciate keeping track on what is going on in IELA and I still remember the first edition, on October 1985, when at this time it was called the “IELA DIARY”.

The day all the founding members came to our offices, Hans just told me that I should join them at the meeting room. I had no idea what to expect and I was just asked to take note of the discussions, the so-called “Minutes”. Later on I learned that it was Hans who had taken the initiative to create IELA.

March 6th 1985 was the day the association came to life and the dream came true. After dedicating so much time, volunteer work, compiling correspondence, etc., we finally created an official structure.

As the youngster in the group it was intimidating to be in the company of giants: Steve Barry, the undoubted global king of the business; Ernie Droessaert everyone’s favourite Parisian uncle,

even though he was from Luxembourg, and of course the Prince of Bavaria himself Klaus Rauch. Great friends who taught me so much about the business, about life and about the wine list!! I miss them every day. Great times! We first convened at a hotel near Geneva station. For a group that would later be dubbed the International Exhibition Lunch Association, it might be a surprise to learn that we dined at a Movenpick buffet. Thanks to Uncle Ernie that was rectified at future meetings quite well…

I remember very distinctly how it was to get everyone to understand what was being proposed. Back in those days, not everyone spoke English well. Steve was not a fan of sitting for hours in a board meeting. He always insisted on “Less talk and more action”.

My first thought was: “Oh my god, something new again!”. Klaus was already travelling a lot before IELA and this came on top. So now away from home again but it was a dream of Klaus and the other founding fathers.

KEY MOMENTS

My good memories are very selfish. I organised the first and the tenth Congress in Montreux (Switzerland).

Both anecdotes come from the excursion days: June 6th 1985 – excursion to the Rochers de Naye, just above Montreux at 2000 metres altitude. It was snowing – what a surprise for me to hear from our Singapore Member “It’s the first time I see snow”. Very funny for a swiss citizen.

In 1994 - approx. 100 members attend the excursion to a great mountain water dam at high altitude. It was a sunny day, full blue sky. The view over the snow-covered Alps was fabulous and magic.

We even had a beautiful image of the Mont-Blanc. The chance was with us to have such tremendous weather. I take real pleasure in remarking that even several years later, participants still remember this magic day.

It was pretty smooth. We got the work done. Board meetings were usually in Europe three or four times a year, timed to coincide with Big Steve’s travel. This was before the days of budget airlines too so travel costs were significant. The membership growth and peer recognition justified the cost and time spent. I was in awe of the volume of work delivered by Ruth and Hans in Geneva.

During the first years, we worked hard to make IELA better and bigger. It was a good time and we were all good friends and very close.

The first year was a “community life apprenticeship” our leaders did almost all the job and step by step, the «house» was built. New members continuously added to the numbers and were admitted under the basic edicted rule: QUALITY BUT NOT QUANTITY.

The first years were very hard for me and meant a lot of extra work: no social media and no internet, just a telex machine. Amongst supervising incoming payments, updating membership listing, etc. Geneva also organised the various board meetings, general assemblies and so on. Despite a lot of daily work, my new job also involved quite a bit of travelling and I met a lot of new and interesting people.

Yes, it was a different period in time. Management of the Association was time-consuming but Klaus’ Assistant was always available. In whatever country we were, when we entered a hotel room, Klaus took a first glance to see if a fax had arrived for him, forwarded by his Assistant.

IELA truly started out as a brotherhood, where friends met to share information and experiences that helped shape IELA into what it is today. To this day, even though we have lost a few, we are still friends. The Spouse Tours were so much fun. Not all the ladies spoke English, some could speak dual languages and would translate to others. So, if a joke was told, it got translated into different languages on the bus so the laughter sort of rolled through the bus. Truly, I would say that early days at IELA were really made up of friends working together for a better future.

SPECIAL IELA MOMENTS DURING THESE LAST 35 YEARS

So many. Lifelong friendships, even with hard competitors or members with whom I had no dealings. Friendships grew and are still going strong today.

WHAT FAVOURITE SOUVENIR/MEMORY DO YOU HAVE PERSONALLY REGARDING THE IELA FAMILY?

Well, we still have a breadboard from Munich somewhere.

It’s the great friends, too many no longer around but in my thoughts every day. I had the funniest time ever in Chile thanks to the often cruel but always hilarious wit of Jim Khodayar, again taken from us far too young. I know that he, like his beautiful wife Gul, would be so proud to see the prominence of daughter Tania in recent times. That is the essence of my IELA family.

One of the most memorable times was in Dubai. We went into the desert and had camel races and a marvellous dinner. At one point they took all the wives away and dressed us in traditional wear for the region, which meant that only our eyes were exposed. It was our husbands’ job to pick their wife out of a line up. We laughed ourselves silly. I could go on and on with the wonderful places and times we had through the years.

WHAT FAVOURITE SOUVENIR/MEMORY DO YOU HAVE PERSONALLY REGARDING THE IELA FAMILY?

One of my personal favourite memories, was watching Bernard Chow from Singapore see snow for the first time on top of a mountain in Switzerland. He was completely amazed and it showed on his face. Good times! I hope this helps all members of IELA to understand that the reason IELA is so successful is because it was built on respect and friendship.

I recall one special moment when we had to cancel the 1991 General Assembly because of the Gulf war: that night Hans and I worked extremely late sending out by telex a questionnaire to all members asking if they were for or against cancellation. The majority was for cancellation.

Of course I have quite a lot of personal memories, though in view of the considerable lapse of time, the details have faded. I just want to add that I loved my job and that I enjoyed the years working for IELA.

Most lasting in my memory is the first General Assembly and Congress in Montreux. It was really a ‘little family’ and I will always remember Bernard (Chow) from Singapore: It was the first time he saw snow in his life – and this in the middle of summer.

DELIVERING EXCELLENCE

I was working for Steve Barry at TWI when the concept of IELA was discussed and created. As one of the founders, Steve was busy with the initial process of starting the organisation and at that time, I was just assisting him with some of the administrative activities. I attended the very first IELA General Assembly in Montreux, Switzerland in June 1986. There were only 40 people in total attending, including spouses. Some of the people I met at that event are still friends and business associates today.

I remember helping Hans Brauchli to write the first editions of the IELA Diary (newsletter) which eventually turned into the IELA Report and now the IELA World publication. Hans and I coordinated the PR activities for IELA for a number of years.

The first few IELA GA events were very interesting as that was the time when the Standards were discussed and produced, committees were established, country profiles were developed and distributed – hallmarks of the association that are still a vital part of IELA today. A key decision in the initial days of IELA’s existence (1985) was to encourage the use of the Telefax system as a standard of communication for our industry.

Looking back over the years, I cannot say that I have a favourite memory of my participation in IELA – there are just too many to select a single one. And the good times, friendships, business activities and memories continue to grow each year! t

A nostalgic moment for the entire IELA Family. Although my relationship with IELA only began in 2009, I have been extremely fortunate and privileged to have met most of the founding leaders and their family members.

Before writing this message, I read the comments of the founding leaders and their wives in the preview. Their sense of leadership and pride was so very evident. I could not but feel deeply indebted to all of them. If it hadn’t been for them, I would not have the honour of writing this message today.

“A small body of determined spirits fired by an unquenchable faith in their mission can alter the course of history”. – Mahatma Gandhi.

The course of our history was indeed altered on March 6th, 1985 when these visionaries created a baby which today is a respected and recognised organisation, seated with global organiser associations & other event industry stakeholders.

In earlier years, maybe the ‘Great 7’ may not have fathomed such a success story for IELA, but the spirit with which they laid the foundation for the association has predominantly guided the IELA Family. And Cindy Barry puts it so very appropriately.

“I hope this helps all members of IELA to understand that the reason IELA is so successful is because it was built on respect and friendship”.

IELA is indeed all about friendship, respect and trust. To Cindy’s comment I would add that IELA provides opportunities of excellence to all.

It was this IELA Family that elected me on the Board of Management in 2011, just 2 years after my entry and then I became Chairman in 2018. My journey would not have been possible unless the values of our Founders were not so deeply imbibed in IELA leadership. In addition to the ‘Great 7’ I also express gratitude to all the past volunteers and leaders who have contributed immensely in making IELA what it is today and to giving this pride and honour to our Founders and their families.

I am confident IELA will reach even greater heights with the next generation of leaders because

an event means working with an endless list of suppliers who assist you and your participants with each part of the fragmented logistics process. There is however one single partner working with you from the early planning phase, then all along the way until the last goods are returned to the participant. Research

Define the role and activities of your future logistics partner. Ask the right people the right questions to reduce time spending on research.

Scope

Fine tuning

Seek a partner that brings convenience, support and commitment to the table, one that understands specific challenges and is an active partner for the event team all the time. Challenge them to propose solutions that improve your participating customer’s journey. Make sure that they will own the floor as much as you do.

Use the knowledge of your partner to your advantage and anticipate what can happen beforehand. Joint preparation ensures minimal waiting time and maximal efficiency.

Step 3. Evaluation

Service focus

Many organisers agree that providing excellent service is the key decision-making factor in selecting a freight forwarder, but customer service or operational excellence are often omitted in the tender document. Most tender requirements relate to the price list and tender policies are issued per edition.

Balanced contract period

A short-term contract lacks the willingness to develop a long-term partnership according to the needs of both organisers and its participants. Hence, the supplier is in no position to add value to the event. The team has also difficulty in gaining the necessary knowledge to offer participants a more tailored service.

On the other hand, there are organisers that never tender. The disadvantage of this approach is that they are not aware of new developments and innovations in the market, nor do they know if prices are in line with industry standards.

The key is to create a healthy mix of building relationships and at the same time stay in tune with industry developments.

How to ship exhibits internationally

Exhibitionplanning is never an easy job. Besides dealing with the organiser to book an ideal booth space, brainstorming with the decorator to create the most attractive image for your company, another critical planning point involves how to get your exhibits to your stand safely and on-time.

Shipping a commercial shipment can be as simple as 1-2-3 when it means shipping a large quantity of one or several items and the buyer deals with all the difficult customs formalities in the receiving country. In the case of exhibition shipping, the exhibitor is however both the shipper and consignee of a shipment.

Does an exhibitor know all the complicated regulations in each exhibiting country?

The selection of a forwarder who knows how to handle exhibition freight correctly will play a vital role in this process.

2020 sees the start of a new decade and the 35th anniversary of IELA. In this special year, we at EF-GSM South Africa are honoured to be hosts of the next IELA Congress and Partnering Event in June.

Our country South Africa is one of the most diverse and interesting countries in the world and this will be the perfect opportunity for you to witness its beauty and discover its treasures. The IELA Congress and Partnering Event plays a major role for our association. They enable us to keep up with the changes & challenges that are happening locally around the world and catch up personally with all IELA Members and colleagues.

This year’s focus is on Sustainability, a subject which we at EF-GSM South Africa take very seriously. Jacqui Nel assisted personally in the creation and publication of the IELA Sustainability Guidelines. We have a number of projects which embrace the UN Goals of Sustainability, aiming to help transform our world. We support various NGO’s, including a very poor school. By buying and delivering collateral left over after an event, the school can get the money raised from the recycling.

The rise in global warming and endangered ecosystems prove it is time to take the concept of Sustainability seriously. The IELA Sustainability Guideline reads, “when we’re sustainable, we’re creating and maintaining the conditions under which humans and nature exist side by side in a harmonious way”. The South African Plastic Pact is spearheading a project in Cape Town to have 100% of plastic packaging either recyclable, reusable or compostable by 2025 (Searra, 2020). This initiative will help people make ecofriendly decisions whilst encouraging a nationwide eco-consciousness.

At Katlego Global Logistics we have introduced a recycling initiative to dispose of our waste more effectively with the help of a local start-up. We are also part of the #SpekboomProject that employs local farmers to plant Spekbooms to help offset our carbon footprint.

In 2020 we plan is to acquire an electric or a hybrid forklift to help decrease our carbon emissions on-site and to train our drivers on fuel-efficient driving techniques supported by efficient routeplanning by the office staff.

379 delegates representing 209 companies from 57 countries joined the 8th Partnering Event in Venice.

Over 3.405 pre-arranged meetings took place during the 2019 Congress and Partnering Event networking sessions.

The annual IELA Partnering Event has now established itself as an essential conduit enabling preliminary interaction between IELA and Non-IELA Members during the early stages of a non-member’s journey towards eventual IELA Membership.

We are looking forward to encouraging dialogue between IELA and Non-IELA Members, opening up the next phase of their IELA journey.

The African continent has largely remained an unknown continent for exhibition freight forwarding for most IELA Members. With the exception of South Africa, Egypt, Nigeria and since last year Morocco, the hidden potential of the African continent has not yet been discovered.

IELA OFFICIALLY PRESENTED ITS SUSTAINABILITY GUIDELINES AS A VALUABLE STEP IN THE RIGHT DIRECTION

Key stakeholders in the Moroccan Exhibition & Event Industry agreed to found a new national association with clear criteria for raising standards in the country

On Monday October 14th 2019, IELA hosted its regional networking and exchange event, IELA CONNECT 2019, in Marrakech, Morocco.

Boosting Regional Actions

IELA CONNECT is the association’s itinerary regional event, welcoming IELA members and all major regional professionals in the exhibition industry: organisers, venue owners, associations and press, together with selected local institutions who figure among the significant players in this sector.

The next Edition of IELA CONNECT will take place in Bangkok, Thailand in the last quarter of 2020.

We are already looking forward to collaborating with regional associations and institutions to provide a great networking experience and high quality expert discussions.

We are talking about both a networking event and a platform to address crucial issues concerning global industry standards. There is the opportunity for all players to connect and exchange on important issues such as Security, OH&S, and Sustainable logistics challenges

Local engagement

The role of local actors is fundamental. They know their market and environment and have a comprehensive understanding of the benefits of security standards. We had the pleasure to welcome local stakeholders of the exhibition and event industry from Morocco and MENA during this event

Sustainability guidelines

Established as a platform to address crucial issues concerning global industry standards, the event was launched by IELA 2018-20 Chairman Vicki Bedi with the release of the newly-published IELA Sustainability Guidelines. Vicki then went on to present the association’s similar achievements in this area in the form of the IELA OH&S and Security Guidelines. An in-depth Round Table Discussion on Protecting Our People Special MENA & Western Africa Region then followed

IELA Ambassadors Nicolas Rougerie and Rachid Bensaber

Before widening the discussion, Nicolas Rougerie from Timar S.A. in Morocco and Rachid Bensaber from Group ESI in France, introduced the challenges that exist and presented a case study of Morocco. The discussion was then open to feedback from delegates who were invited to share their best practices and experience.

Consensus on growth potential but only with the application of standards

Very evident was the opinion that considerable growth potential exists in the Moroccan exhibition industry but there is however a need to apply international standards regarding safety and security. The local stakeholders highlighted that

they are doing their best with regards to safety and security but official certification or defined standards is necessary to anchor best practices in the full value chain with recognition for optimal best practice achievements. The participants agreed to establish a MOU to found a dedicated label/association representing and uniting all stakeholders in Morocco which would follow a clear criteria. The partners signing the MOU will invite all other national players to join the upcoming founding discussions. Advocacy and collaboration to raise the standards in terms of safety, security and sustainability will be the main focus of the new association.

The next steps

The participants were unanimous on the need to start work on creating guidelines for regional application and to look for coaching from other associations, with the objective of creating a local advocate community. In the case of developing recognised professional certification, it would be necessary to identify the accreditation procedure and contact the relevant government body or authority.

Training programmes were also highly interesting for those present. IELA will be happy to provide support and knowledge to the group in order for them to advance towards their goals.

Very positive outcome

IELA Connect 2019 was the very first Exhibition Industry Event in Morocco.

Having analysed the feedback and witnessed the energy shown by those present, we at IELA can proudly confirm that IELA CONNECT 2019 offered the unique opportunity to build further the foundations for collaboration and growth in our industry. It has once again been confirmed that regional events are highly valuable in terms of benefits for the global industry, its people and its future. We are very much looking forward to the creation of a dedicated label, the creation of certification standards and the introduction of specialist training programmes.

Ikram Ettis , CEO of Global Fairs & Events , Organiser and UFI Member in Morocco, commented after the event: “I would like to thank IELA for all their efforts at this successful event in gathering all the exhibition industry stakeholders in order to discuss and share best practices on how to build a good risk management strategy. Keep going!”

IAEE MENA Chapter Chairman, Mr. Bilal Al Barmawi commented: “Security and safety are very important for our industry, especially in the MENA region. We need more training and educational programmes, together with more experience to support our organisers and our workforce. Now is a good time to approach our colleagues in the MENA region to promote working alongside organisers in order to achieve this high level of service. IELA Connect has been a good opportunity to network regionally”. t

Postponement of the IELA Operations Summit 2020

EarlyJanuary the Novel Coronavirus (2019nCoV) started affectingthe exhibition industry with plenty of events being cancelled or postponed. The IELA network is supporting and working closely with organisers and exhibitors from the logistics side to manage challenges, minimising the impact.

On February 1 st 2020, the World Health Organization (WHO) declared the Coronavirus update to be a Public Health Emergency of International Concern (PHEIC).

As event professionals we take very seriously the care, health and safety of exhibitors, event participants and workers, and we are committed to providing timely and accurate information to assist our community in making informed decisions.

To this end, the IELA Board of Management decided to postpone the Operations Summit 2020 in Bangkok to a later date this year.

This allows us to continue monitoring the situation and to react accordingly. The new event dates will be announced as soon as possible while observing the latest news.

We appreciate your understanding and support while we will continue to monitor the situation and will provide updates as needed.

Making our Industry Statistics tangible

IELA will launch the IELA DATA ROOM in 2020. IELA Board Member Guido Fornelli answered a few questions introducing the project, its purpose and benefits for all IELA Members.

Guido, what does the IELA DATA ROOM actually stand for?

As you may know, during the last three years the Industry Relations Working Group, myself and Elizabeth have been working on a project we named DATA ROOM. We are very pleased to share with you that the IELA DATA ROOM SURVEY will be launched this year.

In today’s economy, a virtual Data Room is essentially a website with limited controlled access (using a secure login). All the information released is confidential and restrictions apply for further disclosure to third parties. So confidentiality is the main prerequisite for this project and is the reason for the name.

How will IELA work with the Virtual DATA ROOM?

No one within the Association will have access to the survey results. The survey will be in the hands of a third party who collects, stores and analyses the individual replies in order to aggregate figures. This company will also compare the results with data originating from different sources and market analyses.

What is the purpose of the IELA DATA ROOM?

IELA will use data as a tool to create consistency in its purpose to improve products and services and thus remain competitive.

What do you see as the benefit for every single IELA Member?

This is a vast project of comprehensive data collection on worldwide Exhibition & Events Logistics which will contribute greatly to giving visibility to the important role that the IELA Network has assumed in the industry aimed at both public and private stakeholders.

Essentially to promote a better understanding of our importance with external players in the forwarding and logistics industries (e.g. Carriers, Governmental Agencies such as Trade Agencies, Customs or Police Authorities). The aim is to create a unique repository, an independent “Data Room” where members can input their data and let the Association obtain the aggregate figures generated by our members segment. The project is part of our vision to become “a contentdriven Association”.

IELA would then stand alongside UFI and IAEE who publish their own aggregate survey and index. We would show that we want to play a role as ally for the benefit of the event community.

This data will certainly be a helpful tool to improve communication in the media and with third parties. Negotiation with carriers and other players in the international transport industry will be facilitated. Our reputation with organisers and venue owners will be strengthened. In turn, we will also be able to better understand our market share and positioning within the exhibition logistics market.

Where does the project stand currently?

The questionnaire has been finalised and approved, ready to be launched this year.

We are also close to coming to a solution in identifying the consulting company to help analyse the data and ultimately, in the medium term, define an index for our industry.

More importantly, we have converged with our “Airline Task Force”, headed up by my Board colleague Mariane Ewbank, and which concentrates on our specific needs with the Air Carriers.

} Guido Fornelli is Managing Director of Expotrans SpA, based in Italy and IELA Member since 1992.

Under his lead, Expotrans have grown sharply and became Official Freight Forwarder of Fiera Milano, Mi.Co. (Milano Congressi), Rimini Fiera, Fiera di Vicenza and Crocus Expo (Moscow).

As an active member of the IELA Community and Chairman of the Industry Relations WG from 2015 to 2018, Guido, supported several projects with Associations and Venue Owners/Event Organisers, increasing more and more IELA’s visibility within the Industry.

Guido represents IELA at the UFI Operations and Services Working Group.

How is it going to work and have the next steps been planned?

We hope to have finalised the agreement with the consultant before the Cape Town Congress. We aim to gather first test responses in a sample from associates in order to make final adjustments before project launch, immediately after the awards survey.

Do you have one last comment?

This year is a tough year because of Coronavirus, which negatively impacts our industry a lot. Don’t let it impact our optimism and let us continue developing our business and our wonderful Association further.

I hope I have clarified the importance of this project and aroused interest. It is a challenge and I hope I have convinced everyone to invest a few minutes of their time to complete the survey in order to give us the opportunity to obtain a significant database to turn this project into yet another IELA success.

Benchmarking to continue raising IELA Standards

The 2019 IELA Standards Survey is carried out annually to evaluate the services provided by IELA Members.

Everyyear, IELA invites all its members to evaluate the services that other IELA Members have supplied to them during the previous year. This is achieved by carrying out the IELA Standards Survey

The data gathered is analysed to produce benchmarking averages which inform members on whether their services are above or below the IELA average, according to the opinions of their industry colleagues.

Since last year, the IELA Standards Survey is divided into three categories: Domestic Agent, Export Agent, and On-site Agent

EXPORT AGENT: The Export Agent represents the exhibitor as cargo moves from the country of origin to the international destination. He/she also advises the exhibitor on customs documents and gives instructions to domestic agents on disposal of cargo after the exhibition.

DOMESTIC AGENT: The Domestic Agent is responsible for transporting cargo from the port of arrival in the destination country to the venue including all necessary customs formalities. He/she is also responsible for returning the cargo to the country of origin.

It is important to participate in the evaluation of partners as this data can help business development. IELA Members can not only address problems or a lack of quality in services of their counterparts, but also identify areas for improving their own business. The Standards Survey is a good opportunity for IELA Members to check if their own perception of how they are performing as a member company matches that of their peers who evaluate their performance. The survey includes 7 to 8 questions per company, depending on the category, so isolated low scores can help identify deficiencies to work on.

David Palomo, Chair of the IELA Standards and Customs Working Group explains:

“Even if new award categories are being discussed, the main goal of the survey is not to win any award, but for all IELA Members to have information that can help to improve their services and help IELA to get to know its members. This benefits everyone so please acknowledge the importance of surveying our peers”.

ON-SITE AGENT: The On-site Agent is officially appointed by the exhibition organiser and/or venue and is responsible for transportation of cargo to the booth such as all on-site handling and lifting including storage of empties/full cargo during the Event.

Launched on January 15th, the 2019 Survey will run until March 15th 2020. The company with the best performance in each category will be announced on June 26th during the 2020 IELA Gala Dinner & Award Night.

To qualify for the IELA Award, the IELA Member companies participate in the annual IELA Standards Survey to evaluate their counterparts. Members must receive at least 7 surveys outside their own company group to qualify them for the IELA Award.

On-site Agents qualify for the On-site Agent Award. They must update their profile stating if the company is an on-site agent who physically handles freight with their own equipment and labour. An official appointment letter for the respective venue is then sent and/or shown to the IELA Secretariat.

IELA Board Member & Managing Director of BTG Messe-Spedition GmbH, Germany, Christoph Rauch & IELA Executive Officer Elizabeth Niehaus had the opportunity to present IELA solutions at the event Expo & Event Marketing in Düsseldorf, the most important show worldwide on expo and event marketing, live communication and brand experience. The session “No Exhibit No Show” was organised on Wednesday February 19th 2020 during EuroShop 2020 at Messe Dusseldorf, Germany (February 16th - 20th).

Christoph Rauch presented the advantages of working with IELA Members and answered key questions arising with shipments and logistics in worldwide event management, including How are you dealing with delays due to the lack of capacity or increasing bureaucracy? How are special requirements of stand designers and exhibitors dealt with? And How does digitization impact the way exhibits and stands finally reach the show destination?

Christoph highlighted the example of Russia taking customs procedures extremely seriously with high fines and taxes enforced for not abiding by the rules. Taking the case of Africa, challenges occur when working with Customs brokers. Many of the problems and delays at border crossings can be alleviated by making use of a known agent or an IELA Member.

The new IELA Organiser & Exhibitor portals was presented, providing tips and tricks & practiceoriented solutions, as well as advice in preparing the transit of goods across borders.

Manywill remember the 32nd IELA Congress in Prague in 2017 - two years later the IELA Senior Club also held its annual meeting in this medieval city full of cultural and historical highlights.

The seniors really enjoyed three eventful days with a rich and impressive programme, including a guided tour through the old town visiting all its major attractions - at an ageappropriate speed.

Traditionally it ended with a Gala Dinner on the last evening, this time in a famous restaurant directly facing the beautiful Charles Bridge.

TheBrazilian Union of Fair Promoters (UBRAFE) released survey results on the impact of events on business generation in the State of São Paulo 2019. Mariane Ewbank, IELA Member from Brazil and IELA Board Member interviewed Paulo Octavio who gave some highlights on the geography of the Brazilian event market:

• The State of São Paulo counts 742 events generating US$73 billion (R$ 305 billion) annually.

• Trade exhibitions represent 5% of GDP in the State of São Paulo

• With a large number of small companies in Brazil, the culture and spirit of Brazilian companies enhance the success of trade exhibitions which in turn provide an excellent opportunity for business growth in Brazil.

• Every dollar that is invested by a participating company at an exhibition is multiplied by thirty-five therefore the ROI ratio “one to thirty-five” is a convincing argument to exhibit!

• As only 20% of buyers at shows were foreign, UBRAFE invested across borders for certain shows to attract Latin American buyers.

• Being not only b2b events but also b2c events, there is a connectivity between brands and people.

On January 16th 2020, the Singapore Association of Convention & Exhibition Organisers and Suppliers (SACEOS) celebrated its 40th anniversary in Singapore.

Why Import Compliance is Important IN

Today, global trade comes with compliance risks. Import and export compliance violations can result in sanctions, fines and the interruption or loss of privileges due to neglect or oversight. Government regulations have never been more complex and the penalties have never been higher. This is particularly true when importing various goods from different countries of origin as there may be different filing requirements for each country.

Having a proactive and comprehensive import (and export) trade compliance programme is not only prudent, but necessary. In fact, U.S. Customs and Border Protection (CBP) encourages importers to work with licensed customs brokers to ensure full import compliance.

Requirements for Importing Goods and Materials to the U.S.

and the potential for error is great. Goods being imported need to have the right valuation and need to be classified accurately with the correct markings and country of origin. They also need to meet the ever-changing requirements of several U.S. government agencies. Here’s why having an expert team who can analyse your import compliance needs and put an actionable plan together for you is important.

Upon arrival to the U.S., the importer of record must file the required entry documents, pay appropriate duties on the merchandise and receive authorisation from CBP before their goods can be released from the port of entry. Entry filings essentially require thorough and accurate information encompassing the following:

Description & Tariff Classification –all goods entering the US must be adequately described and include a properly assigned tariff classification which determines the amount of duties to be paid.

Valuation – declared value includes all payments, whether direct or indirect, as part of the transaction. For instance, rebates, commissions and packing costs are to be included. If exhaustive, a commercial invoice is generally acceptable.

Country of Origin – all goods must include markings with the correct country where the merchandise originated. Tariff classifications may change for origin countries with free trade agreements.

Intellectual Property Rights – goods and packaging must not infringe or bear unsubstantiated trademarked or copyrighted markings.

If accurate, timely, and compliant, CBP uses the information provided to assess duties and grant entry authorisation. Here’s another way to look at the process.

What Are the Risks of Non-compliance?

What You Can Do to Manage Your Import Compliance Risks

It’s very important that companies importing to the U.S. understand their compliance responsibilities, associated risks and how to manage these risks effectively. Non-compliance with import (and export) regulations can carry serious penalties, the harshest of which is loss of importing and/or exporting privileges. It’s also important that other persons associated with the imported goods understand that they also may be held responsible for meeting import compliance standards. In the past, if importing requirements were not met, the importer would be liable. However, a recent U.S. Court of Appeals decision has changed that individuals associated with the importation, even though they are not the importer of record, may also be liable for any trade or customs requirements not met. The points listed in the next column explain some of the risks of non-compliance in terms of cost, downtime and reputation.

CBP technically has five years from submission date to audit importer entry records. Companies importing thousands of shipments a year must be vigilant in their recordkeeping and be prepared for a knock on the door inquiry about clearance on any specific shipment in prior years.

Best-in-class companies cultivate and instill an over-arching compliance culture, allocate dedicated personnel to the department, partner with companies with focused expertise, develop regular training or certification programmes and establish SOPs, audit & reporting protocol for end-to-end alignment.

CBP and the importer cooperatively operate under what’s referred to as “Informed Compliance,” whereby it is assumed and expected that importers both stay apprised of existing and changing U.S. regulations and laws, as well as practice good faith and reasonable care to ensure compliance. Severe penalties can be assessed for companies who are found non-compliant with U.S. laws and regulations. Whether intentional or not, entry filings reflecting omitted or inaccurate descriptions & classifications, valuations, country of origin, or other information can result in significant and costly headaches.

After 1,317 days, 3 Prime Ministers and 2 General Elections, the United Kingdom (UK) eventually left the European Union (EU) on January 31st 2020. This means that the UK is no longer a member of the various EU political institutions and has entered a transitional period (also known as implementation period) until December 31st 2020.

FromMarch 2nd 2020, the UK and the EU will begin negotiations on the future relationship between both parties. With the UK being almost inextricably entwined with the EU, there are many topics to discuss and each side will be wanting to prioritise the sectors most important to them. It is debatable as to how many agreements can be reached in such a comparatively short period of time, so it is unlikely that a comprehensive agreement will be reached.

The transitional period can be extended by mutual agreement, though the UK appears to have no interest in extending the deadline beyond January 31st 2020. If the UK Government does decide that extending the negotiations would be in the UK’s interest, it must submit this request to the UK-EU Joint Committee by July 1st 2020.

OUR SERVICES AS FREIGHT FORWARDERS WILL REMAIN UNAFFECTED

The UK Government has been quite clear in its recent communications that it has no wish to remain in the Customs Union and Single Market. Naturally, the UK wants to get the best deal possible, but has been consistent in its assertions that it is prepared to fall back on WTO rules if it believes it is in the best interests of the UK to do so

The EU is equally determined that any Free Trade Agreement (FTA) will be dependent on sufficient guarantees for a level playing field. That is to say that the EU is concerned (primarily) that the UK will seek to undermine the EU by reducing taxation, compromising on social and environmental policies and providing additional state aid to businesses and thereby achieving a competitive advantage in the global marketplace.

As this is a trade negotiation driven as much by politics and self-interest than it is by common sense and generosity, anything can happen. Red-lines have already been drawn in the sand and the political sabres have been rattling quite loudly. Therefore, we need to be aware that any speculation on the future trading relationship with the UK and EU, as well as the rest of the world, is only that – Speculation.

Customs procedures and the movement of goods between UK / EU / UK

After almost three decades of frictionless trade within the European Union, cargo moving into and out of the United Kingdom, regardless of origin, will need to be presented to customs so that the appropriate procedures can be followed.

Most of us that trade and move cargo outside the EU are already aware of the procedures and processes involved. Customs declarations, Commercial Invoices and ATA Carnets are all part of our day-to-day activities So in that sense, we are already prepared. The issue we all face, particularly in the UK, will be how we manage the extra demands due to increased bureaucracy and the effects they will have on the basic infrastructure.

British government officials have finally begun to openly admit that border checks are inevitable and that something will need to be done to reduce the associated delays and congestion at the ports on both sides of the North Sea, the Irish Sea and the English Channel. In time, we may find that free-trade zones or bonded areas, located away from coastal areas, are established to relieve the pressure on the ports and the communities in which they are located. But that will take time to implement both structurally and in regulatory terms.

Not only will we need to educate our clients on the additional demands, we will also need to advise them well in advance that there will be increased costs and longer transit times. A German company exhibiting at a show at the NEC in Birmingham can now expect to pay the same costs as a US company with the same shipment; temporary and permanent import clearances, bond fees, transit security fees, additional tariff headings, import tax, etc.

ATA CARNETS WILL BE MORE WIDELY USED FROM 2021 ONWARDS

This additional clerical and financial burden may deter many regular exhibitors from participating at some of their annual trade shows and exhibitions. It is possible they will either reduce the number of shows they will attend or not attend at all.

INTERNATIONAL TRADE BETWEEN THE UK AND THE REST OF THE WORLD

The day-to-day movement of cargo between the UK and non-EU countries should remain relatively unchanged. There are certain aspects that may need

to be addressed in the period shortly after the UK has departed.

Many documents such as EUR documents, Health Certificates and Certificates of Origin are approved as EU documents for use outside the EU. It is understood that the UK government have prepared alternate UK versions and it is expected that they should be accepted globally from 2021 onwards. However, we should be vigilant and ensure that EU agreements roll over to UK agreements in the coming months.

The UK Government is expected to do everything it can to ensure that imports from outside the EU will remain unaffected by the exit of the UK from the EU. However, imports from the EU into the UK and vice versa will be highly affected, as mentioned earlier, and this could cause delays to imports from third countries due to a higher volume of goods requiring customs clearance.

Important consideration should be given to the fact that the UK will have its own regulations as a result of transposing EU law into UK law. Non-compliant goods will run the risk of being stopped by customs and delay any goods in the same shipment. Vice versa, for some sectors, companies that are operating in the UK will have to ensure compliance with EU law to be able to continue to sell in the EU market. t

Amendments to Indian Customs Regulations

New customs guidelines will be of importance to freight forwarders. Please find the following detailed list of products / commodities and various sub-classes as per the Customs Act which are either wholly restricted or allowed subject to specific conditions:

1. Amendment in Policy condition No.2 (iii) to Chapter 95 of ITC (HS), 2017- Schedule -1 (Import Policy) – Imports of Toys / Dolls and other recreational goods are subject to Bureau of Indian Standards (BIS).

2. Amendment in Para 2.25 of Foreign Trade Policy, 2015-20. – Prohibition on Import of goods, sought to be imported as ‘Gifts’ through Post, E-commerce Portals or Courier except for life-saving drugs / medicine and Rakhi (but not gifts related to Rakhi).

3. Amendment in import policy conditions of gold and silver under Chapter 71 of ITC (HS), 2017, Schedule-I (Import Policy).- PROHIBITION imposed on Imports of gold and silver.

4. Amendment in Import Policy and Policy condition under HS Code 07131000 of Chapter 7 of ITC(HS), 2017, Schedule -I (Import Policy) –Import of Peas is RESTRICTED and allowed ONLY through Kolkata Port. t

NEW INSTRUCTIONS EUR 1/ATR1

The Italian Customs Authority has recently issued new instructions to fully comply with European Regulation about EUR1/ATR1 issuance.

Based on the above, as from Feb 1st, 2020, these certificates will no longer be issued (only few exceptions allowed) and all Italian exporters must be registered as “authorised exporters”. All commercial invoices will show the official statement and authorisation number in the body of the invoice.

This statement will guarantee to importers the same rights of the EUR1/ ATR1 certificates when it comes to duty at the destination’s Customs.

Procedure will be easy and smooth. Every Italian exporter has to apply for registration individually at the local Customs Offices.

There will be a window period from now on where EUR1/ATR1 will of course still be issued but the Italian Customs Authority strongly recommends all Italian Exporters to begin registration procedures in order to be ready for the official implementation date.

How does Blockchain work?

Blockchain technology is based on the idea of renovating the old template of a ledger. Traditional ledgers are owned by one entity and controlled by a designated administrator. With the old use of the ledger, the administrator could implement changes to the ledger without requiring consensus from all of the ledger’s stakeholders.

Here resides the disruptive innovation of this technology, as Blockchain is a shared, distributed ledger among a network of stakeholders that cannot be updated by one single administrator. Instead, it can only be updated with the agreement of network participants and all changes to the distributed ledger are auditable.

Blockchain in logistics

In today’s connected and integrated world, economic activity takes place in business networks that span national, geographic, and jurisdictional boundaries. Business networks typically come together at marketplaces

where the participants, such as producers, consumers, suppliers, and partners own, control, and exercise their rights, privileges, and entitlements on objects of value known as assets.

Blockchain has the significant potential to increase efficiency along the entire logistics and settlement process including trade finance and help to resolve disputes in the logistics industry.

As digitised documents and real-time shipment data become embedded in blockchain-based systems, this information can be used to enable smart contracts.

Smart contracts are digital contracts allowing terms contingent on decentralised consensus that are self-enforcing and tamper-proof through automated execution.

These contracts can automate commercial processes the moment that agreed conditions are met, meaning that fewer intermediaries will be needed in order to complete the shipping process in a successful and safe manner, whilst the information flowing between parties will be 100% accurate and secure.

Blockchain in events logistics

The main question is how could this affect/ improve our common event logistics market?

From the exhibitor’s side, this would mean true and up-to-date information on a product’s shipment (position – tilt alert – temperature control, etc.).

From our point of view, this will mean that there will be no need for intermediaries or guarantees, no need to chase exhibitors for payments, no need to worry about our WayBill correctness, etc. This would all be regulated by smart contracts on our behalf, hugely saving time, resources and attention.

There are huge steps ahead to be made, but our future looks bright. t

The Membership Working Group (MWG) has got quickly off the blocks after the IELA Congress Venice 2019, being busy with vetting applications and voting for the applicants to be approved by the IELA BOM.

In line with the EU GDPR regulations which forced IELA to review its information gathering processes, the Membership Working Group ensured that participation in their activities is only possible when NonDisclosure Agreements (NDAs) have been signed.

This ensures confidence amongst IELA and would-be IELA Members that their data privacy is preserved.

The MWG has started vetting documents and voting new applicants online digitally by using Survey Monkey, which allowed the secretariat to tabulate the final scoring and comments and pass the approved applications to the BOM for consideration.

In 2019, we are pleased to report the following, based on the MWG’s activities throughout the year:

• 5 companies were accepted as new IELA Members in 2019: Vega Logistics Co. Ltd., Timar SA, Go-Express Co. Ltd, China International Exhibition Transportation Co., Ltd. (CIETC) and Trans-Link Exhibition Services Co., Ltd.

• 6 companies submitted application for membership.

• 1 application was rejected by the MWG.

• 4 applications were approved by the MWG but rejected by the BOM.

• There were 5 cancelled memberships in 2019, and another 2 members have notified us in 2019 of their cancellation of their membership by June 2020.

Current applications received are being processed or have been processed by the MWG.

The Membership WG is continually actively looking for membership potential in white spot countries, particularly those in the African continent and Middle East.

As promised, the new Standards of Performance have been launched, clearly defining the differences between Export Agent, Domestic Agent and On-Site Agent.

We have been working to update the Training Manual in order to add the new types of Agent and to modify the old agent information. We will have it ready for the next Winter Seminar.

The 2019 Survey was launched on January 15th. We plan to have at least as many surveys ready as in previous years - maybe more. This year, the survey will have the three categories separated as in the past. The Secretariat, Jatin or myself will be available to guide you through if you come across complications.

EXPORT AGENT: The Export Agents represent the exhibitor as cargo moves from the country of origin to the international destination.

DOMESTIC AGENT: The Domestic Agent is responsible for transporting cargo from the port of arrival in the destination country to the venue.

ON-SITE AGENT: The On-site Agent received an official appointment from the exhibition organiser and/or venue and is responsible for the transportation onto the booth.

Each member updates his profile, stating if his company is an on-site agent, physically handling the freight with their own equipment and labour.

«Survey me, survey you» is the basis for highlighting areas for improvement regarding IELA partners who have been working for you as Export, Domestic or Onsite Agent during 2019. Likewise, you receive results about what your partners think about your performance as an agent. Maybe you have been working for the first time with an IELA Member. Wouldn’t it be nice to hear just what people think about your work?

Just remember, the main goal of the survey, is not to win any award but to have information that can help to improve the services of IELA Members and help IELA to know their members well . There are benefits for everyone, so please participate in the survey of our peers which is so important.

New award categories are in progress and we will keep you updated. Do not hesitate to send us your feedback and ideas, and remember that the awards are in recognition of maintaining quality best practices.
